The Grants Management Technology Unit supports the Grants Management Enterprise (GME) system by continually evolving and improving system functionality to ensure that all federal, state and other grant funding requirements are being met.
The team provides support while developing and maintaining all applications and processes housed in the GME system, such as:
The recommened internet browsers are Google Chrome, Microsoft Edge, and Firefox.
Please Note: GME is not supported on Internet Explorer and functionality may be lost if using this browser.
To allow for multiple page viewing, open GME in a separate (recommended) browser. GME does not allow for multiple page views within one browser.
Please Note: Navigate away from an editable page before logging out of the system. If logging out while on an editable page, the system may lock the page for editing and will require up to eight hours for a refresh.
GME is a 1-click system. Double clicking will cause the system to refresh the current page and/or error out resulting in an unexpected result.
A user should not use the browser's back and forward arrows, but instead navigate the GME system using the main menu, "Go To" button, or the "Save and Go To" button.
Yes, an excess of redundant user roles within GME will cause the the system to operate slowly. It is highly recommended to only assign user roles as they pertain to the user's job duties.
Clear browsing history, cache, cookies regularly. This will have an positive impact on data-driven system performance.
Alternate browsers as some use more resources than others. For example, although it does provide a cleaner online experience, Google Chrome is requires more resources than others and it can result in system performance issues during times of peak usage.
If possible, when working in GME , close any non-essential programs. GME does not require a large amount of resources, but other software or systems can cause it to not have the resources it needs.
If possible, shutdown the computer down nightly to allow for regular updates to improve general performance.
If these tips do not prove sufficient, Grants Management advises the users to contact the organization's IT department for options to improve general performance.
Unexpected results for Related Documents may result from a slow connection, not recommended browser use, or a large file.
Attempt to solve the unexpected error by:
Clear the browser's cookies and cache.
GME only supports Word document, Excel spreadsheet, PowerPoint, or PDF document.
Please Note: Uploading scanned documents may cause the document to increase in size during upload. Scanned documents (i.e. JPEG) are not recommended to be uploaded.
If uploading a large document and the system prompts an unexpected result, try to divide the document into smaller files and upload multiple documents instead of one larger file.
Once the document is uploaded and the green light/dot is displayed, wait for a minute or two. Depending on the size of the document or the speed of the internet, the system may say it is uploaded and ready, but it may in fact be preparing the upload.
User Access (including Public Access)
User access to the Grants Management Enterprise System (GME) is a three-step process:
The individual for each organization with the role of Entity Administrator in ADEConnect must first make sure the user is set up in that system for the correct organization and is given the Grants Management role. (NOTE: ADEConnect is separate from GME and supported by the ADESupport team at (602) 542-7378)
Once set up in ADEConnect, the user will select the Grants Management application to open GME. This will allow GME to associate the user to the system.
Once in GME, the user will need to reach out to LEA User Access Administrator, who can then set up the new user with the appropriate roles in GME. For more information on creating or assigning roles in GME click here.

Yes, approved funding information is viewable by the public. For public-access to approved information in GME, visit Grants Management Enterprise (GME), select Search > Organization from the GME main menu, enter all (or part of) the name of the Organization, followed by Search.
No, if a user already is assigned the LEA Business Manager role, the user does not need the funding application-specific update role. The LEA Business Manager role's capabilities include the capabilities of the funding application-specific update role and much more. Therefore, the LEA Business Manager role supersedes the funding application-specific update role. For more information on the capabilities of GME roles, click here.
To start an application, change the status to Draft Started. For more information on funding applications, click here.
Please Note: In order to draft start the application, the user must have the LEA Business Manager role to change the status.
Applications must be in either Draft Started or Revision Started status in order to update any portion of the funding application.
If the application is in the correct status, the user must have either the LEA Business Manager role or the grant-specific “…Update” role in order to update/edit.
If the application is not in the correct status and/or the user does not have the correct role, the user will see the View Options button instead of the Modify button on the Budget page.
Additionally, users cannot update the budget if the Completion Report is already started.
The application must be in the Draft Started or Revision Started status in order to be updated/modified, including uploading related documents.
If the application is in the correct status, the user may not have the correct user role. The LEA Business Manager role or the grant-specific “…Update” role is required for updating the application and uploading related documents
The most frequent reasons for this are:
User does not have the correct role to submit the funding application
LEA Authorized Representative role is required to submit an original application to ADE.
Validation errors need corrections
To view error messages, select the Messages link in the Validation column on the Sections page. All errors located here need to be corrected.
To correct an error, click the review link for that error message; the system will direct the user to the error location.
The LEA Business Manager role is required for initiating, updating, and submitting reimbursement requests in GME.
No additional role is required to approve and submit Reimbursement Requests

The most frequent reasons for this are:
The funding application or revision is not in Director Approved status.
The LEA or entity has a pending Reimbursement Request that is not in Paid status. New requests cannot be created until previous requests are paid within the ADE Accounting System.
The GME session timed out and the user is no longer logged into GME.
The project period has ended and thus no further reimbursement is permitted.
The LEA Business Manager role is required for initiating, updating, and submitting Completion Reports in GME.
No additional role is required to approve and submit Completion Reports

Confirm Reimbursement Requests are in Paid status.
Confirm any Reimbursement Requests that are not submitted are deleted.
Confirm budget line items reflect the actual final year-end expenditures.
If the line items are not accurate, contact the Program Area Specialist for guidance as a revision may be required in order to start the Completion Report.
Confirm Revisions are in Director Approved status.
Please Note: Any of the above scenarios may prohibit the initiation of a Completion Report.
