Additional AzEDS Integrity Rules for FY20

Effective March 19th 2020, two new integrity rules will be implemented for SPED data validations in AzEDS. This is in an ongoing effort to ensure clean data within the fiscal year, and avoid corrections of data after close of the fiscal year.

SPED Rule(s):

-40073 Only SPED Exit Codes may be used to exit a SPED Least Restrictive Environment (LRE).

This rule is to ensure any exit code associated with a SPED LRE must be a SPED Exit Code. There have been previous cases where exit codes with similar exit descriptions have been reported for SPED data. Particularly

  • ELL05 Transferred to a different program
  • ELL06 End of school year

-40075 SPED Least Restrictive Environment (LRE) with Exit Code SPED07 must have enrollment end on same exit date.

This rule is to ensure student reported as dropped out from SPED are ending their enrollment on the same date. If enrollment continues after the SPED LRE then another exit code must be selected.

  • A new enrollment may be reported at the site if the student returns.

Integrity Rule -20019 is now marked as Disabled for FY20 and forward.

  • AzEDS Integrity Rule –20019 (If a withdrawal code of WK is submitted and a subsequent enrollment with an EK enrollment code is submitted without a track change, then report the discrepancy as an error.)

Modification to AzEDS Integrity Rule(s):

Integrity Rule -10131 is tentatively marked as Disabled. AzEDS will follow up once it is active again.

  • AzEDS Integrity Rule –10131 (If a PS enrollment without a SPED Program is not reported with Tuition Payer Code 2 OR a PS enrollment with a SPED Program is not reported with Tuition Payer Code 1, 4 or 7, then report the discrepancy as an error. Tuition Payer Code 2 must be used for any day a PS enrollment is reported without a SPED Program.)

Integrity Rule -40036 is Removed as of FY16.

  • AzEDS Integrity Rule –40036 (If a student is receiving SPED services turns 22 years of age during the school year, shall continue to receive SPED services through the end of that school year. (ARS 15-764(A)(1)).)

* Integrity Rule -40036 removed, Rule -10122 already in place to validate age. -10122 (If the Student turns 22 during the current enrollment and is not receiving SPED services on his 22nd birthday, report as an error.)

New AzEDS Integrity Rule(s) for FY20:

  • AzEDS Integrity Rule –10131 (If a PS enrollment without a SPED Program is not reported with Tuition Payer Code 2 OR a PS enrollment with a SPED Program is not reported with Tuition Payer Code 1, 4 or 7, then report the discrepancy as an error. Tuition Payer Code 2 must be used for any day a PS enrollment is reported without a SPED Program.)
  • *Effective FY20, parentally placed preschool students on a ISP are no longer eligible for proportionate share and, therefore, cannot be reported to AzEDS.

    (Integrity Rule -10131 effective as of 7/1/19)

  • AzEDS Integrity Rule –20038 (If membership has a withdrawal code of WK and the student didn’t switch calendars, move from UE to KG, or move from KG to UE, then report the discrepancy as an error.)
  • (Integrity Rule -20038 effective as of 10/30/2019)

    The WK withdrawal code has been expanded to allow a lateral grade change from UE to KG or KG to UE along with a change in calendar code. Schools should use this code for mid-year changes between “Ungraded Elementary” (used for kindergarten-age SPED students) and kindergarten or calendar code changes. All other mid-year grade changes require a WP (promote) or WD (demote) code. See the Use Case 5.0 document for more information.

    — For Accountability Rules, Student School Association not passing Integrity rules will not generate ADM.

New AzEDS Integrity Rule(s) for FY20:

  • AzEDS Integrity Rule –10130 (If a grade-level or school for a membership does not align with the calendar type, then report the discrepancy as an error.)
  • (Integrity Rule -10205 effective as of 10/21/2019)

  • AzEDS Integrity Rule –10205 (If a student has attendance minutes exceeding 1440 minutes per day, then report the discrepancy as an error.)
  • (Integrity Rule -10205 effective as of 10/9/2019)

    — For Membership Rules, Student School Association not passing Integrity rules will not generate ADM.

  • AzEDS Integrity Rule –90021 (If a school has more than one primary (5-day or 4-day) calendar without School Finance’s approval, then report the discrepancy as an error.)
  • AzEDS Integrity Rule –90022 (If a school submits a 4-day PS/KG calendar before submitting a primary (5day or 4-day) calendar, then report the discrepancy as an error.)
  • AzEDS Integrity Rule –90023 (If a school submits more than three 4-day PS/KG calendars without School Finance’s approval, then report the discrepancy as an error.)
  • AzEDS Integrity Rule –90024 (If a school submits more than three 3-day PS/KG calendars without School Finance’s approval, then report the discrepancy as an error.)
  • AzEDS Integrity Rule –90025 (If a school submits a 3-day PS/KG calendar before submitting a primary (5-day or 4-day) calendar, then report the discrepancy as an error.)
  • AzEDS Integrity Rule –90026 (If a 3-day calendar for grades 9, 10, 11, or 12 is submitted without School Finance’s approval, then report the discrepancy as an error.)
  • AzEDS Integrity Rule –90027 (If a 2-day calendar for grades 9, 10, 11, or 12 is submitted without School Finance’s approval, then report the discrepancy as an error.)
  • AzEDS Integrity Rule –90028 (If a 1-day calendar for grades 9, 10, 11, or 12 is submitted without School Finance’s approval, then report the discrepancy as an error.)
  • AzEDS Integrity Rule –90029 (If an unplanned calendar event is submitted during the normal submission window, then report the discrepancy as an error.)
  • AzEDS Integrity Rule –90030 (If a submitted calendar code does not begin with the submitting LEA id, then report the discrepancy as an error.)
  • (These Integrity Rules are effective as of 9/24/2019)

    — For Calendar Rules, Students assigned to Calendars not passing integrity rules, will not generate ADM, SPED, or ELL.

Disabled AzEDS Integrity Rule(s) for FY20 and forward:

  • AzEDS Integrity Rule –50010 Student must have Tribal Name to be eligible for a Johnson O’Malley Indian Education program.)
