Updated Primary Withdrawal Type

Issue: W21/S21 Transferred to attend school out of state type has been added to the Official Notice of Pupil Withdrawal form

Who is affected? All LEAs

What is the resolution? Download latest form and update lookup definitions in Synergy

Resolution Steps

Step 1: Download the Official Notice of Pupil Withdrawal from the Arizona Department of Education Accountability website.

Step 2: In Synergy verify that the W21 code has been added to your AzEDS Lookup Definition

  1. Navigate to Synergy SIS > AZ > AzEDS > Setup > AzEDS Lookup Definition
  2. Select the Lookup Tables tab
  3. Enter ExitWithdrawTypeDescriptors In the Name field
  4. Select Descriptor from the AzEDS Type field dropdown list
  5. Click the Find button
  6. Lookup Names list will display
  7. From the list select K12.Enrollment – LEAVE_CODE. This will open the Lookup Table screen
    • You will need to add the W21 Transferred to attend school out of state lookup value if it is not listed
  8. To add the lookup value click the ADD button, to enter the new code
    • Enter the next sequential number in the Listorder column
    • Enter “W21” in the Code column
    • Enter “Transferred to attend school out of state” in the Description column
    • Enter “W21” in the Other SIS column
    • Enter “W21” in the State Code column
    • Select “Withdrawn before the scheduled end of year in order to attend a school out of state” in the EdFi column

Step 3: In Synergy, verify that the S21 code has been added to your AzEDS Lookup Definition

  1. Navigate to Synergy SIS > AZ > AzEDS > Setup > AzEDS Lookup Definition
  2. Select the Lookup Tables tab
  3. Enter ExitWithdrawTypeDescriptors In the Name field
  4. Select Descriptor from the AzEDS Type field dropdown list
  5. Click the Find button
  6. Lookup Names list will display
  7. From the list select K12.DEmographics – SUMMER_WITHDRAWAL_CODE. This will open the Lookup Table screen
    • You will need to add the S21 Transferred to attend school out of state lookup value if it is not listed
  8. To add the lookup value click the ADD button, to enter the new code
    • Enter the next sequential number in the Listorder column
    • Enter “S21” in the Code column
    • Enter “Transferred to attend school out of state” in the Description column
    • Enter “S21” in the Other SIS column
    • Enter “S21” in the State Code column
    • Select “Withdrawn before the scheduled end of year in order to attend a school out of state” in the EdFi column

FAQ: Weighting not inheriting properly from District Grade Book settings

Known Issue

Following the installation of 10.05, Assignment Category Weighting may not be inherited for every grading period of a class. For example, if a Semester 2 class is accessed in Grade Book for the first time, Assignment Category Weighting inherited from a District Grade Book may only apply to the initial grading period loaded for the class; the other grading period(s) may not inherit any weighting.

Who is affected?

Any districts that:

  1. Have installed Synergy version 10.05
  2. Utilize a District Grade Book to set Assignment Category Weighting
  3. Meet one of the following criteria:
    • The class in Grade Book was not opened prior to installing 10.05 and therefore did not inherit Assignment Category Weighting from the District Grade Book. If Assignment Category Weighting had been inherited prior to 10.05, the class will NOT be affected.
    • The Assignment Category Weighting associated with the District Grade Book was modified AFTER installing 10.05.

Example

For example, if Synergy version 10.05 was installed and then a teacher tried to access Semester 2 classes in Grade Book for the first time ever, only one grading period of the Semester 2 class would inherit Assignment Category Weighting from the District Grade Book.

Resolution

A Statewide Improvement package will be created to address this issue.

Make Sure You Are Receiving Our Emails

Here are some suggestions to help ensure ADE IT’s emails, newsletters and blog posts make it through your email system’s spam filters:

  1. If you can find any of the emails in your junk mail or spam folders, simply click on the email and mark it as Not Junk. (This assumes you are using Outlook for your email. If not, there should be a similar mechanism in whatever program you are using.)
  2. Add the ‘from’ email address to your address book/contacts list.
  3. If the emails are being filtered out before they even get to you, you can try to have your IT folks “whitelist” the @azed.gov domain
  4. If you still aren’t getting the emails, your IT folks can “whitelist” the following IP addresses:
    • 205.201.128.0/20
    • 198.2.128.0/1
