SdADMS75 Report To Be Retired

The SdADMS75 report will soon be removed from Student Details Data Interchange (SDDI) in Common Logon because the SdADMS75-1 report provides more pertinent data for the LEAs.

The SdADMS75-1 report essentially replaced the SdADMS75 report in FY09 because it is a copy of the SdADMS75 report but with some additional pieces of information that are pertinent to an LEA’s funding. The main difference between the two reports is that the SdADMS75-1 report contains Limited ADM information while the SdADMS75 report does not. The Limited ADM data is what is used to pay the LEAs.

Our IT Department is making enhancements to the SdADMS75-1 report. Once those enhancements are completed, the SdADMS75 report will be retired because it provides no additional value to the LEAs or to School Finance. It is anticipated that these enhancements will be completed within the next four weeks. Please check back here for updates.

AOI Data Submission Deadline Nears

The submission window for Arizona Online Instruction (AOI) sites to submit their final FY12 data will close at 5:00 p.m. on Wednesday, July 18. If there are issues with files not submitting successfully and the data is not in SAIS by the 5:00 p.m. cutoff on Wednesday, you will need to open a 915 data correction in order to correct your data. To avoid this correction process, please make sure your data is thoroughly reviewed and corrected prior to Wednesday’s cutoff.

 The statewide recalculation (final fiscal year Integrity and Aggregation processing) will begin on Thursday, July 19.

Charter School “AOI Status” Issues Being Addressed

Charter school students manually entered (not through a file upload) into Estimated Counts who attend non-Arizona Online Instruction schools are appearing with an incorrect AOI Status of “Full Time AOI” instead of “Non-AOI.” The “Full Time AOI” status is currently the default status for all students and not just for those who attend an online school. An AOI status of “Full Time AOI” will result in these students generating 95 percent of their ADM instead of 100 percent, thereby causing Charter holders’ payments to be lower than they should be. The first payment that uses the Estimated Counts data is due to be paid on August 1. 

Our IT Department is working to correct this error so that non-AOI Charter schools receive their correct payment on August 1. The AOI Status for all students enrolled in a brick and mortar Charter school will be changed to “Non-AOI.” The AOI Status for all students attending an AOI Charter school will remain the same and not be touched. 

Once this fix is in place, the Charter Estimated Counts user interface will be modified so that the default AOI Status for a non-AOI Charter school student will be “Non AOI.” Until this modification is made, non-AOI Charter schools should change the AOI Status to “Non-AOI” when manually entering Estimated Counts through Common Logon.

The first three FY2013 Business Rules have been posted to our web site. FY2009 915 Deadline is June 30

Please note that all FY2009 915 data corrections must be completed by 5:00 p.m. on June 30. 2012. SAIS cannot handle data submissions for FY2009 data past this date.

Absence Approval Request Deadline Is Friday, May 11

The absence approval request deadline is approaching. Requests must be received by Friday, May 11. Please use the Absence Approval Request form which can be found on the School Finance home page. Your ADMS46-1 report identifies whether or not your ADM has been adjusted due to absences. If your ADM has been adjusted, you must submit your absence adjustment request by May 11. Please keep in mind that submitting the absence adjustment through School Finance will only modify your funding and does not have an impact on your AYP classification or any other absence data that may be used by other units within ADE.

May Monthly Processing

May’s Integrity and Aggregation processing will begin on May 4. All data submitted (or in the case of file uploads, files processed) prior to 5:00 p.m. on May 3 will be included in the May processing and in June’s ADMS46-1 reports.

Changes to A-F Accountability System for 2012 and Recent Legislation Impacting School Accountability

ADE’s Research and Evaluation Division is informing LEAs of important changes to the state’s A-F Letter Grade Accountability System approved by the State Board of Education in March and the legislation relating to school accountability and school improvement. TEI Recalculation Completed

 In accordance with A.R.S. §15-941(D.), we have completed the recalculation of the Teacher Experience Index (TEI) for districts that submitted corrected data after March 15. You may view your TEI report by going to the public SDER Reports page.
