FY21 Static File Version 1 Release

The first version of the 2020-2021 Static File is now available through ADEConnect. It includes information on enrollment, program, and FAY status. The file should be carefully reviewed to ensure that enrollment, program information, and FAY Status are accurate. Enrollment data should be checked to ensure that all students a school expects to be included are contained within the file. When checking student program data, it is important to remember that each program has different criteria for being included in the static file: special education is dependent on the student’s status on October 1, Income Eligibility is updated continuously throughout the year, and English Learner is dependent upon having an EL need. There are two types of FAY statuses, FAY and AZELLA FAY. Students are considered FAY if they were enrolled within the first ten calendar days and continuously enrolled through Monday, May 3. FAY status is used for ELA and Math Assessments and all calculations except for EL, chronic absenteeism, and graduation. Students are considered AZELLA FAY if enrolled within the first ten days of the calendar year and continuously enrolled until the last day of the original EL testing window. AZELLA FAY is used for EL calculations only.
Corrections to the first version of the static file must be completed in a school/district/charter holder’s SIS by July 15th in order to be accurately recorded and reflected in future releases.
School and district personnel with the accountability role can access their relevant static file through ADEConnect. Contact your entity administrator for help accessing ADEConnect. The 2021 static file codebook can be found here.
The second version of the static file will be released in August. This file will include student assessment and growth data. The July Grader and communication from ADE will provide more information on how to validate this file, as well as the deadline for corrections. The third and final version of the file will be released in September. This file will include all the data corrections from the second version. Any questions regarding the static file, missing assessments, or data should be sent to [email protected]. Accountability will work with Assessments to identify issues with the data and take corrective action if required.
Finally, draft versions of the 2020-2021 A-F Letter Grade Business Rules are now posted on the Accountability Resources page. Business rules are available for the K-8, 9-12, and the 9-12 Alternative models. The business rules are subject to change, so one should take care to ensure they are using the most up to date version. Any changes to these Business Rules will be documented in the appendix section at the end of the document.
